Planning an office move? It can be a complex process—but with the right preparation, it doesn’t have to be stressful. At Quicksilver, we’ve handled thousands of successful relocations across Newcastle and the North East, and we know that proper planning is key to a smooth transition.
To help your move go as smoothly as possible, here’s our expert pre-move advice—covering everything from crate delivery to IT preparation and furniture labelling.
Crate Delivery & Collection: Stay Organised from Day One
Keeping track of your moving crates is essential. We recommend two crates per staff member: one for desk contents, and one for the pedestal. Your crate hire agreement will include a delivery date several days before your move to give employees time to pack up.
Everyone should be made aware of the crate collection date to avoid delays. After the move, crates will be collected from a central collection point. Please ensure crates are unpacked and returned there promptly—note that only labelled crates will be removed.
Furniture Preparation: Simple Labelling Saves Time
Each item of furniture should have just one label—and it should be clear. Include the initials of the staff member, the floor it’s destined for, and the desk number (e.g., MR – 2.34). Attach labels to the desk, pedestal, office chair, and monitor screen so our team can easily place everything in the correct location at your new premises.
IT Equipment: Disconnect, Label & Let Us Do the Rest
You don’t need to pack your IT equipment—just disconnect and label each monitor. Our movers will handle the rest, placing everything safely in crates and delivering it to the new location as per the labels. Once on site, your IT team can reconnect equipment easily with everything in the right place.
Crate Preparation: Pack Smart, Pack Safe
Here are our top tips for getting the most out of your crates:
- Crates arrive stacked in 10s to save space.
- You can pack most office items—books, files, desk contents—but don’t overfill them.
- Follow the internal fill line; overfilling prevents lids from closing and creates risk during handling.
- Each crate should be light enough to lift safely by one person. If it’s too heavy for you, it’s too heavy for us!
- Label every crate twice: once on the outside and once inside in case the external label comes off.
We provide low-tack colour-coded labels for different teams or floors, which are easy to remove and won’t leave marks on furniture or equipment.
